DFW Office Moving Checklist: How to Plan a Business Relocation

An office relocation affects the people and systems that keep your business running. Desks and chairs are only part of the picture: employees need instructions, equipment needs a plan, and both buildings may have specific moving requirements.

Whether you’re moving a small office in Plano or relocating a larger workspace elsewhere in Dallas–Fort Worth, start with an agreed schedule and a clear list of responsibilities.

Assign one move coordinator

Choose a person who can gather decisions, communicate with your moving company, and track outstanding tasks. Give each department a contact who can confirm what is moving and what should be removed.

Create a shared checklist with owners and due dates. Include lease handovers, building approvals, packing, equipment preparation, address updates, and the first day of operation at the new location.

Inventory furniture and equipment

List desks, chairs, filing cabinets, conference tables, shelving, and shared equipment. Identify items you plan to replace or dispose of so they do not accidentally become part of the move.

Measure large furniture against your new floor plan. Mark each destination room or workstation and use those same names on labels. A desk labeled “Office 204” is easier to place correctly than one labeled “upstairs.”

Confirm building access at both locations

Ask property management about moving hours, loading docks, freight elevators, parking, protective materials, and any required documentation. Share those instructions with your movers before the scheduled date.

Discuss a realistic moving window with the team. If your business needs to operate during the transition, decide which departments or equipment must remain available and ask about a phased plan.

Put your IT team in charge of technology preparation

Coordinate backups, shutdowns, disconnection, and reconnection with your IT staff or provider. Label devices and cables by workstation, and photograph existing connections where useful. Confirm who is responsible for transporting and setting up each type of equipment.

Keep confidential files and access credentials under the control of authorized staff. Decide how sensitive records will be secured during the transition and who will receive them at the new office.

Give employees simple packing instructions

  • Use the assigned room or workstation labels.
  • Separate personal belongings from company equipment.
  • Identify items that must remain accessible.
  • Keep hallways and exits clear.
  • Ask the coordinator before packing shared equipment.

Explain when staff should finish packing, where they should work during the move, and how they will receive updates.

Plan the first working day

Prioritize the essentials needed to reopen: access, phones, internet, key equipment, and a safe working environment. Arrange a walkthrough to confirm furniture placement and report any missing items or setup issues to the coordinator.

Update customers and suppliers with the new address and any relevant service changes. Your relocation plan should include these communications alongside the physical move.
